BeBoSa 2026

Privacy statement

On the BeBoSa 2026 website you can read about the fair, the exhibitors and the programme. This page explains which data we process, why, and what you can choose yourself.

Who is responsible

This website and what happens to your data is the responsibility of The Exhibition Company, speelmanshof 7, 5324 DC ammerzoden, Chamber of Commerce 30122269, info@exhibitioncompany.nl. You can contact them with any privacy questions.

When you visit the website

Whenever you visit a website, your browser sends technical data: your IP address, the type of browser and the page you request. This is needed to send you the page.

The website runs on Vercel. Vercel processes this data to deliver the page and keeps short technical logs for security and troubleshooting. Images and files come from Google (Firebase). If something goes wrong on a page, a technical error report may be sent to Sentry, with details such as browser, page and error. It contains no names or e-mail addresses.

We do not use your IP address for statistics and do not link it to you. We do this on the basis of our legitimate interest in a website that works and is secure.

Statistics

Without your consent we only count anonymous totals: how often a page was viewed and what was clicked, with the type of browser and device, your language and which website referred you. No code is sent and nothing is stored in your browser. No one can be identified from these totals. We do this on the basis of our legitimate interest in knowing how many visitors the fair attracts.

With your consent we also keep track of how the website is used: which pages you view and for how long, what you click on (booths, exhibitors, programme items, products, external links), what you share or like, and which ads you see or click. We also record your screen size. This also shows us how many different visitors there were and how a visit goes.

This is linked to a random visitor code stored in your browser, and to a session code that disappears when you close the tab. Your name and e-mail address are not included, and we do not store your IP address for this.

This shows the organiser which parts of the website are used. Exhibitors and advertisers only see totals, such as how often their booth was clicked.

The data is stored with Google (Firebase) in the European Union, in the Netherlands. Individual events are deleted automatically after 90 days. We keep daily totals without a code, because no one can be identified from them. A summary per visit (the page you entered on and how long you were active) and your likes are stored under the visitor code. We delete these automatically after one year.

We only do the part with the visitor code with your consent. If you withdraw your consent, we delete the visitor code and counters from your browser and from then on only count you anonymously.

What we store in your browser

We use no cookies ourselves (see Content from other parties for the Google map). We do store a few things in your browser's storage. They stay on this device and are only read on this website.

When you fill in a form

Contact form

Your name, e-mail address, optionally your phone number, the subject and your message. We e-mail this to the organisation so we can reply. You receive a confirmation by e-mail. To prevent spam we also record your IP address, browser and the time. We keep this for 30 days. Our security log keeps a short record with your e-mail address and an untraceable code of your IP address for 12 months. Legal basis: legitimate interest, namely answering your question and protecting the form.

Message to an exhibitor

This goes to the exhibitor you choose. Read exactly what happens in Privacy contact form.

Booking an appointment with an exhibitor

Your name, e-mail address, phone number and the reason for your appointment. The exhibitor receives these, and you both receive a confirmation by e-mail. As proof of your consent we store when you agreed, with which text and from which IP address. By default we anonymise your data 6 months after the last day of the fair. Legal basis: consent.

Registering as an exhibitor

Your company details, contact person, addresses, VAT number and booth preferences. To prevent abuse we also store an untraceable code of your IP address and browser, not the IP address itself. Until you submit, a draft is kept in your browser. We use the data to arrange your participation and keep it as long as needed, and then as long as the law requires (usually 7 years for accounting records). Legal basis: preparing and performing a contract.

E-mailing or sharing your programme

If you e-mail yourself your programme, we only use your e-mail address to send that e-mail. If you share your programme with a link, it only contains your programme, no personal data.

Smart search for exhibitors

If you search for exhibitors with your own question, we first remove e-mail addresses and phone numbers from your text. AI services then process your question: Anthropic (Claude) to understand your question and assess the results, and Google Cloud to compare your question with exhibitor descriptions. We store the search question with a temporary session code, not your name, to improve the search function. We delete search questions automatically after one year. Legal basis: legitimate interest, namely answering your question and improving the search function.

Security with reCAPTCHA

Messages to exhibitors, exhibitor registration and the search function are protected by Google reCAPTCHA, which checks whether a human is behind it and processes device and usage data for that purpose. reCAPTCHA only starts when you submit such a form or start searching. Google's Privacy Policy and Terms of Service apply. Legal basis: legitimate interest, namely protecting the website against abuse.

Content from other parties

  • Videos. The preview image of a YouTube video comes from YouTube's (Google's) servers, which therefore see your IP address. The video itself only loads when you press play, and then via YouTube's privacy-enhanced mode (youtube-nocookie.com).
  • Map. An exhibitor page shows a Google Maps map. It loads directly from Google's servers, so Google sees your IP address and may place cookies through the map itself. Google's Privacy Policy applies. If no Google map is available, we show an OpenStreetMap map, which then sees your IP address.
  • Sharing and tickets. Share buttons and the ticket button are plain links. Nothing is sent to those parties until you click. Their own privacy statement applies on their website.

Who we share data with

We do not sell data and do not work with advertising networks. An exhibitor only receives what you send them yourself, such as a message or appointment.

For the website we use processors that only handle your data on our behalf: Vercel (hosting), Google (Firebase, Google Cloud, reCAPTCHA and Google Maps), Mandrill by Intuit (e-mail), Sentry (error reports) and Anthropic (smart search). Our database is in the European Union, in the Netherlands. Some of these services also process data in the United States, on the basis of the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.

Your rights

You may ask us which data we hold about you, and ask us to correct, delete or transfer it. You can also object to processing. If you gave consent, you can withdraw it at any time. For statistics, use the button below or the link at the bottom of every page. Send other requests to info@exhibitioncompany.nl.

If you disagree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Changes

If anything changes in what we do with your data, we will update this statement. If it concerns statistics, we will ask for your choice again.
